Holiday Terms and Conditions


Check In 3pm to 8pm & before sunset
Check Out by 11am
There are lots of jobs that we need to do in between departures and arrivals to ensure your holiday is the best we can achieve for you. These include tidying up the pitches, mowing grass and cleaning ready for our next guests.

Payments
When you pay via bank transfer we request a 50% conditionally-refundable deposit when booking a camping pitch. Receipt of the deposit secures your booking. Please note that the deposit includes full payment (£10) for your Greener Camping Club membership. Pitches are held provisionally for up to seven days, after which, if we have not received your deposit, the dates will be released. The balance is required six weeks prior to your arrival date. If we do not receive your balance by this time, we will assume you have cancelled your holiday and release the dates - see below. For short lead-time bookings - ie. those booked less than six weeks before arrival, the full amount will be requested to secure the booking.

If you book online by card then we request 100% conditionally-refundable deposit when booking a camping pitch. Your pitch is secured at time of payment.


Cancellation by You
If you cancel your camping holiday 6 weeks or more before your arrival date, we will refund your full payment less a £30 admin. fee. If you cancel your camping holiday 6 weeks or less before your arrival date and we are able to re-let your pitch for the dates you have booked, we will refund your full payment less a £30 admin fee and the Greener Camping Club membership fee. In the event that we are unable re-let your dates, no refund will be made. If you are worried about the prospect of cancelling, please take out holiday insurance. Bookings are not transferable without our prior agreement by email, writing. If you have booked direct thought the Cool Camping web site then a £30 admin fee + 15% of your holiday price will be deducted from any refunds.

Cancellation in the Event of Covid-19 Infection
What happens if you have to cancel your booking for any of the following reasons:
You or a member of your party have a positive Covid-19 test You or a member of your party have to self-isolate due to contact with a Covid-19 sufferer You or a member of your party develop Covid-19 symptoms and are awaiting test results

If any of the above apply then the ‘Cancellation by You’ clause will apply.

Cancellation in the Event of Covid-19 lockdown / government restrictions
If we have to close due to government restrictions then the "Cancellation by Us" clause below will apply.
If your area is put into a localised lockdown - then the "Cancellation by Us" clause below will apply.

Cancellation by Us
Dunes at Whitesands Camping reserves the right to cancel a camping holiday at short notice if we can not accommodate you; due to any reason relating to Covid-19, ill health, fire, or any other extenuating circumstances beyond our control. Under such circumstances, your full payment minus the GCC membership fee, card fees if you booked online, and 15% of you holiday price if you booked direct through the Cool Camping website are not refundable. Dunes at Whitesands Camping cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation.

The Weather
In common with all of the west coast of the British Isles, this campsite can be subjected to extreme weather conditions. Very strong winds and torrential rain can occur at any time of the year, though we are fortunate in that there is no flood risk. You must ensure that your tent is suitable for these conditions and correctly erected, heavy duty wooden tent pegs are available on request. No refunds will be given for holiday disruption due to inclement weather.

Children
There are many opportunities for play and adventure on our camp site. Our aim is for children to be as safe as possible and we will keep motor traffic to a minimum. Because Dunes at Whitesands Camping is part of a working farm (albeit a small holders version) there are contingent risks to be aware of. We have sheep and various chores to do in the Summer - so there are tractors and machinery around. These risks are small and should be self-evident - but if you are not clear, please ask! Parents are responsible for the supervision of their children on site at all times.

We not accept unaccompanied children. For this purpose we define a child as someone who is under 18yrs.


Animal Welfare

We have rare breed Balwen sheep and chickens on the location. The sheep include breeding ewes, ewe lambs and rams, for their own safety they must be kept fenced into their own paddocks. Please help us keep them safe and do not climb on any fencing and do not venture into any locked paddocks. Please do not feed any of the animals as they could bite or become ill if fed something that they are not use to eating. No Fireworks, Chinese Lanterns etc. are allowed on site as these are a serious danger to all the animals and wildlife.

Parking
In the interest of everyone's safety and enjoyment of this peaceful place the main site is a car free zone (the only exception to this is the camper van pitches where one vehicle per pitch is permitted, caravan owners are asked to park their vehicle in the dedicated parking area). Parking is available at the signed areas. Vehicles will be allowed to park up adjacent to the pitch twice, once to pitch and once to strike camp. Please avoid actually driving on the pitches. One vehicle is included in the pitch price additional vehicles are ve charged at £6.50/day.

Day Visitors
In the interest of peace and quiet we do not allow day visitors to our site. Guests staying in our bed & breakfast are of course allowed to visit their family members staying in the camp site.

Consideration for Others
This is a peaceful, quiet campsite for the enjoyment of nature. We do not allow, radios, stereos or other sound systems and only quiet talking is permitted after 10:30pm Acoustic instruments can be played before then, such as guitars, harmonicas, flutes etc. We do not allow the use of drones. Noisy visitors who persistently disturb other guests will be asked politely to leave, without refund (hopefully this will never happen). If you are out for the night and arrive back late, please consider other campers.

In the interest of peace and quiet we do not accept noisy groups , hen parties, stag parties etc.

Recycling & Rubbish
A condition of camping here is that you separate glass, cans, plastic, paper, cardboard etc. placing them in the special bins provided. What is left, i.e. anything that is not recyclable can be placed in the landfill bins.

Badgers and Foxes
It's nice to know that you might get a glimpse of both of these creatures. At night you'll probably hear them scurrying around for sure. The problem is that they are looking for an easy feast and may try to raid your food stocks and recycling. One or two simple precautions will help. Put your food in suitable, hard containers and your recycling in the bins provided. Don’t leave food scraps lying around and make sure your tent is zipped up at bedtime.

Property Loss
Dunes at Whitesands Camping cannot be held responsible for any lost or stolen property.

Campfires
Keep the fire small. Please only use the designated campfire places and do not enlarge or alter the position of the designated campfire places. Use must only use the seasoned hard wood sold by Dunes Camping at £5.50/bag. This is small pieces of dry hardwood which will help keep the fires small, reduce smoke and prevent spitting. Do not leave your campfire unattended and think carefully about whether or not to light a fire if it is windy or the flora is too dry. In some conditions e.g dry and or windy weather we may ask you not to light fires. Fires are lit at your risk and you are responsible for ensuring your safety, the safety of others and also that the fire does not spread.

Dog Policy
Sorry, we don’t accommodate dogs, no matter how well behaved or lovely, sorry (actually we do take guide dogs with a registered blind person).

Chemical Toilet Disposal
We have a chemical waste disposal point infront of the facilities.

Accidental Damages
Should any significant damage or breakage occur, other than acceptable wear and tear, a charge for replacement may be made.

Electric Hook Up
Pitches Chough, Kite, Buzzard, Hawk, Guillemot and Fulmar have 10amp electric hook up sockets. In order to take advantage of our exceptional large pitches it is advisable to bring an extra-long cable, >20m is recommended.
